Title: Conferences Assistant

Overview: Conferences Assistants (CAs) will be the driving force behind the success of the Conferences Program. CAs will assume both administrative and operational responsibilities, learning to hone both their communication and organizational skills. CAs will be tasked with assessing the efficiency and functionality of various components of the Conferences Program, including several forms of communication with clientele, and identifying strategies to improve on areas of deficiency. Interaction with Williams College administrators and staff will be frequent, along with outside clientele, providing CAs with excellent networking opportunities. In addition, CAs will learn how to use Conference Programmer software in order to track the housing and dining needs of conference groups.

Duties and Responsibilities:
Specific duties include, but may not be limited to:
-Collaborating with other CAs and Conferences Program professional staff to provide quality customer service to conferees
-Communicate with conference directors, Williams College staff, and conferees by monitoring the Conferences Program email account and front desk phone
-Assess and identify forms of communication within the Conferences Program office that can be improved upon
-Participating in a rotating on-call schedule with other CAs
-Inputting housing assignments and meal plans into Conference Programmer software to track the needs of conference groups
-Obtaining 12 passenger van certification from the Williams College Facilities department in order to drive college vehicles to carry out operational needs of the Conferences Program

-Applicants must be full time, enrolled students at Williams College
-Applicants must have a valid driver’s license and be able to obtain a 12 passenger van license through the Facilities department at Williams College prior to the start of their employment
-Customer service-oriented
-Ability to think critically and problem solve
-Basic understanding of Williams College classroom technology and comfortable learning new software applications
-Excellent verbal and written communication skills
-Strong attention to detail
-Ability to lift 40 lbs daily

The Conferences Program at Williams College serves a number of both internal and external clientele and is open 7 days a week. The conferences supported through the Conferences Program range from youth day camps, to adult professional conferences, and Williams College academically affiliated programs. The Conferences Program works collaboratively with a number of departments on the Williams College campus, including Facilities, Dining Services, and Campus Safety and Security, offering CAs excellent networking opportunities throughout their tenure with the Conferences Program.
